What is Yoti?

Yoti is a Government Certified Digital Identity company that enables users to verify their identity to organisations. This makes it safer for people to prove who they are by providing the correct documents for Right to Work Checks.

How do you access the Yoti portal?

Once client users have been added to Yoti, they will receive an email including a link to the portal. This link allows the users to create an account on the portal.


The email invitation includes information on how to sign up including how to use one of the free authenticator apps for Microsoft, Google, or Apple.

As Digital Identity checks are being used more frequently in the UK, you may already have a Yoti account.   If so, you can login using your existing account.

 

1. Click on ‘Create your account’.

 2. On screen, you’re then presented with two options for creating your account.

  • If you already have the Yoti app or Post Office Easy Digital ID app, you can use the ‘Digital ID’ login option. You will need to agree to the terms and conditions and click ‘Sign up with Digital ID’.
  • If you do not have the above, you will need to sign up with the email and password option. To do this, enter your email address and create a password. You will then need to make sure you agree with the terms and conditions and click ‘Create your account’.

What do I do after signing up?

If you chose to sign up using the email and password option, please follow the steps below.

 

1. You will see the message below that states a confirmation email has been sent to your inbox.

2. Once you receive the email, click on the link that is included in this email.

3. After clicking the link in the email, you will be presented with the below message. Click ‘Login’.

4. Enter your email address and password that you recently created and click ‘Log in’.

5. Once you have logged in, you will need to set up a 2 Factor Authentication which allows you access to the portal. 

  • This can be done via the Yoti app or a popular authentication app such as Google Authenticator, Microsoft or Authy, etc. You will need to click ‘Continue’ to set this up.


 

  • If you do not wish to use the Yoti or Post Office app, you will need to select ‘Authenticator app’.

6. If you use the ‘Authenticator app’ as the multi-factor authentication, you will need to open the 2 Factor Authentication app such as Google, Microsoft, etc. 

  • You will then need to scan the QR code and enter the code that is then displayed on the app.

7. Once you have set up your 2 Factor Authentication, you will be able to select the relevant application.

How do I create a session?

A session is used to invite a person to complete a Right to Work Check.


1. Click ‘View Sessions’ against your ‘Right to Work’ check option. There will be an option to ‘Create Session’.



When creating a session, you will be asked to enter the name and email address of the person you are inviting to complete the check and then select ‘Create Session’.


Client name: The name of the person that you are inviting to complete a check.

Client email address:  The email address of the person you are inviting to complete a check.

2. Once you have created the session, you will be presented with a button on the ‘Sessions details’ page that reads ‘Copy URL link’.


This allows you to copy the link which will then need to be sent to the people you would like to complete the checks.

3. Once you have copied the URL, the next step is to send the invite to the candidate via Jobtrain including the URL you have just copied from Yoti.


Once the person that is completing the check clicks the link that has been sent to them via Jobtrain, they will be guided through the process with the steps required to complete a right to work check.

  

We recommend using the following wording when sending invites out to candidates. You can create a new email template by going to Settings > Communication > Email Templates.

Congratulations on your recent job offer with {SYSTEMUSERS.COMPANYNAME} The next stage in the onboarding process is to verify your documentation which confirms your right to work in the UK.

 

We work with Yoti, a Government Certified Identity Services Provider to review and verify your identity.  This is a legal requirement when we hire new employees, but it will only take a few minutes of your time.

This link is just for you and should not be shared with anyone else.  Follow the instructions on screen to complete the Right to Work verification checks.

 

Here are some tips before you start:

  • You will need your Passport to complete the checks (UK & Irish Passports accepted) 
  • Ensure you are in an area with good lighting
  • We recommend following this process on your smartphone but a laptop with a camera will also work
  • You will see a notification on screen when the check is complete

How do I see the progress in my session?

 

One of the great things about Yoti is that you can search for people by name, email address, or simply by selecting the session you are interested in.

How do I know whether to approve or reject a session?

Once a session is complete, Yoti provides you with a report which includes details of the checks that were performed by the person completing the checks.

 

Yoti also includes a recommendation of whether you should approve or reject a session.

 

The final step you will need to take to complete the check, is to click ‘Approve’ or ‘Reject’ for the session, based on the report and recommendation that Yoti provides.

 

Additional steps

After you have completed the session and all the checks have been completed, you have the option to download a PDF version of the report. You can do this by following the below:

  • Click on the session you wish to download
  • Click the three dots next to the session name

  • Click ‘Download PDF’.


If you do not want an image of the user’s data, you can untick the relevant box before clicking ‘Generate’.

Session details > 3 dots > Download PDF

  • Click ‘Generate’.


  • Once you have completed this, you will need to click ‘Download’.

FAQs

 

How long does Yoti store candidate data? 

Yoti recommends that you keep data only if necessary. Therefore, the data retention period is set as 3 months before the data is removed from Yoti.


How long do candidates have to complete a session? 

The default session expiry is set as 1 week. However, please contact our support team if you wish to amend this to one of the following options:

  • 10 minutes
  • 30 minutes
  • 1 hour
  • 2 hours
  • 6 hours
  • 12 hours
  • 1 day
  • 2 days
  • 1 week
  • 2 weeks
  • 1 month


Is there a charge to be set up on Yoti? 

No, there is no charge to be set-up with Yoti. However, there is a cost of £6 per check.  

 

Is Yoti is integrated with Jobtrain?

Am I limited to a certain number of checks? 

No, you can do as many checks as you need.


If a candidate uses the app, the information is stored on the app. Would you pay again if a previous employer had paid?

Yes, there is a charge as you are utilising Yoti's secure and certified solution to provide you with a report including an image of the candidate’s passport with the metadata that includes the certification as an Identity Services Provider (IDSP). This employee data is stored securely on encrypted systems. You can also view it via the Yoti portal for easy candidate management. It is this service (along with our soon-to-be-launched integration with Jobtrain) that forms the service.
