For all other updates, we do not need you to take any action. Each update is designed to benefit you, streamline your workflow, improve visibility and provide greater flexibility in managing your recruitment.

Job and Offer Approval enhancements
Available now in your test site and coming to your live Jobtrain platform on 9th April 2025.

Indeed Disposition Data Integration
We are activating our disposition integration with Indeed to provide transparency for candidates and insights for job boards.
Key details are outlined below:
- Transparency for candidates
Sharing disposition data offers greater transparency for candidates who applied directly with a third party. - Insights for Job Boards
Job boards gain detailed insights into application outcomes, supporting optimised sourcing strategies and informed decision-making. - Activation date: April 1st
Clients using Indeed Direct Apply will automatically share disposition data starting on April 1st – see note below.
Very important information:
- Automatic enrollment: Clients using Indeed Direct Apply will automatically share disposition data.
- Opt-out available: If you do not want to share disposition data, please complete this form to submit your opt-out request before April 1st.
Continuous Improvement updates to Jobtrain
Candidate emails – improved forwarding options
Candidate emails sent from the candidate portal can now be directly forwarded to a designated email address. This will help ensure effective communication and removes the need to manually monitor the email inbox in Jobtrain.
Emails forwarded to clients will now include the candidate’s name and email address at the bottom of the message (don’t worry, this is not visible to the candidate), making it easier to manage responses.
To request the forwarding of candidate emails to a designated address, please reach out to our support team to activate.
Application copy history for greater transparency
When candidates copy from a previous application, Jobtrain will now display the job title and job reference number of the specific job they copied from.
The benefits: This update will make it easier to see which previous application the candidate has copied from, providing clearer tracking of application history.
Reference alerts – enhanced log details
The Auto System Reference Alert entry-logs in the candidate history have been updated so they now include the company name and referee email.
The benefits: This change enhances the ability to quickly identify the reference associated with the alert, thereby saving time during the review of candidate records.
Manual interview booking – improved interviewer selection
When booking manual interviews, the Interviewers look up list can now be configured to only include users listed in the Job Access section of the job. By default, Jobtrain will continue to display all system users, but if you want to restrict the list to Job Access users only, please contact our support team to enable this option.
The benefits: It provides greater flexibility in selecting interviewers, allowing you to tailor the lookup list to your specific needs.
Improved visibility of archived calendar events
We’ve made several improvements to how archived calendar events are handled, addressing key issues that were making it difficult to track past appointments.
What’s changed?
- The standard event archiving period has been extended from 4 weeks to 10 weeks, ensuring appointments remain visible for a longer period.
- Archived Calendar Events now retain a record of past appointments on the ‘Booked’ tab, ensuring a complete audit trail of interview activity.
- A new ‘Previous Appointments’ option can be found in the More menu in the candidate record.
- Archived appointments are with 'Archived' next to the title, alongside any active appointments from the Calendar Event Manager and manual interview bookings.
- This section is available to users with access to the existing appointment view in the candidate record.
- Users can also create new appointments from this page.
The benefits: These updates provide greater visibility and improve how past appointments are accessed for more efficient interview management.
Source tracking report – clearer reporting for untracked sources
Previously, untracked sources were blank in the Source Tracking Report, so to improve clarity, these will now display as ‘Not provided’.
The benefits: This small but impactful change will help ensure you can distinguish between tracked and untracked sources far more easily.
Job closing date – greater flexibility for job listings
By default, job closing dates are not mandatory in Jobtrain, giving you the flexibility to create open-ended roles when required. However, if your organisation must have closing dates for all jobs, we’ve added a new setting that allows this to be mandated across your Jobtrain system.
The benefits: This enhancement provides greater adaptability while ensuring compliance with your organisation’s recruitment policies.
Time to Hire report enhanced for transparent calculations
We’ve updated the Time to Hire report to provide more accurate and transparent calculations.
The updates include:
- Improved date filters: Options for Last 7 Days, Last 4 Weeks, and Last 12 Weeks have been added to ensure consistent filtering across all relevant dashboard graphs.
- Clearer calculations: The report now measures the time from Point A (Live Date) to Point B (Status change to Started). If the Started status isn't configured, it defaults to the status Under Offer, with the label adjusting to Time to Offer accordingly.
- Fallback logic: If neither Started nor Under Offer statuses are configured, the Time to Hire graph will be hidden.
- Enhanced accuracy: Calculations now reflect the average duration for all completed recruitment journeys within the selected date range, excluding incomplete journeys.
The benefits: These changes provide a clearer and more reliable representation of time-to-hire metrics, ensuring confidence in the data displayed.
Job status standardisation – improved consistency
For greater consistency when creating jobs, any job that is partially created before the approval process begins will now automatically move to the status of Draft, regardless of how it was created. This change prevents jobs from being placed in different statuses and helps ensure no vacancies are missed.
The On Hold status will now be exclusively used for jobs that are intentionally paused at any stage of the recruitment process.
Advanced notice – Reports Menu – in your live Jobtrain platform from 9th April
To prepare for the upcoming Report Builder enhancements mentioned earlier, we're making some small changes to the navigation within the Reports area of Jobtrain. These changes will be live in your Jobtrain platform from the 9th April 2025.
- Standard Reports will be accessed via a new sub-menu called My Reports under the main Reports menu option.
- All existing Standard Reports remain available and a new search feature has been added to allow users to search by report name.
- Currently, all reports are classified as Standard Report. Future enhancements will bring additional Report Types too.
These changes are already available to view in your Test environments. They will go live in your Jobtrain platform from 9th April 2025.
