Feature: Shortlisting, Panel Shortlisting
For: Hiring Managers & Shortlisters
View applications
- Go to Jobs and click the Job Title you are recruiting for.
- Select a candidate’s name to open the full application.
- (If required) Open CV & Documents to view attachments.
Tip — use the left / right arrows at the top of the candidate record to move between applications.
Open the shortlisting form
Where you are in: | Action |
Candidate record | Click ⋮ More > Shortlisting (or Panel Shortlisting) |
Quick action | Click the ! icon beside the candidate |
Candidate list | Tick the candidate > Assess > Shortlisting (or Panel Shortlisting) |
Recommendation - open the candidate record first so the application and shortlisting form appear side‑by‑side.
Complete the shortlisting form
- Click Edit
- Complete all questions
- Select scores where required
- Add comments if prompted
- Click Save
You can edit your own form at any time; only you can change your answers.
Post-shortlisting actions
- Use the filters to make sure panel shortlisting is complete: see this section of our user guide on tracking and comparing panel scores.
- Update the Application Status — Recruiters may ask you to change the Application Status for each candidate.
- Or press Shortlisting Complete button to indicate shortlisting is over.
Process steps vary by organisation — confirm with your recruiter if unsure.
FAQs
I can’t find the job or candidates.
Search by job title. If still missing, ask the recruiter to check your access and that the job is ready for shortlisting.
I can't see a shortlisting form?
Ensure a form has been attached to the job and that you are listed as a shortlister.
Can other users edit my shortlisting forms?
No – only the shortlister themselves can edit their own shortlisting forms.
Can I bulk-shortlist multiple candidates at once?
No. Complete the form per candidate. Compare and Assessment Form reporting can be used to review all results.
Are my shortlisting comments visible to candidates?
Not by default, but they may be disclosed if the candidate submits a Subject Access Request.
Will reviewers see each other’s scores?
Usually only after all panel forms are complete (subject to permissions).
I can't see any candidate names
Your organisation may anonymise personal details during shortlisting; names will display once the process progresses.
