Purpose and effective use of assessment forms

Assessment forms help structure how candidates are evaluated at different stages of the recruitment journey - supporting consistency, reducing admin, and enabling informed decisions. They enable:

  • Fair and structured evaluation using tailored question types
  • Options for candidate-completed and internal-only forms
  • Automated scoring, status updates, and candidate emails
  • Clear records of scoring and responses for reporting


When to use each type of assessment form

Choosing the right form type helps you streamline processes, improve reporting, and automate where possible. Below is an overview of the different ways assessment forms can be utilised:

Form type compatibility rules

To ensure scoring and question types work correctly, only certain combinations of Form Types can be selected when creating a form:

  • You can assign Assessment Form and Pre-Assessment Form together
  • You can assign Shortlisting, Screening, and/or Panel Shortlisting together
  • You cannot mix candidate-facing forms (e.g. Assessment or Pre-Assessment) with shortlisting/reviewer forms (e.g. Screening or Panel Shortlisting)

 

To prevent issues with scoring calculations and question compatibility, the system prevents you from selecting both types together

 

FAQs

What’s the purpose of assessment forms in the recruitment process?

Assessment forms help structure how candidates are evaluated, ensuring fair, consistent decision-making. They reduce admin, support automation, and provide a clear record of candidate responses and scores.

 

Can I select the form type as both Assessment Form and Shortlisting Form? 

No, these form types can’t be combined. Assessment and Pre-Assessment Forms are designed for candidates to complete and use automated scoring logic, while Shortlisting, Screening, and Panel Shortlisting Forms are completed by internal users and use manual scoring.

 

How do I know which assessment form type to use?

It depends on what stage of the process you’re in and what you’re trying to assess. Use Pre-Assessment Forms for early filtering, Scored/Non-Scored Assessment Forms before submission, and Shortlisting Forms after applications are received.

 

Who completes the different types of forms?

  • Pre-Assessment, Scored, and Non-Scored Assessment Forms are completed by candidates.
  • Screening, Shortlisting and Panel Shortlisting Forms are completed by system users (e.g. recruiters, hiring managers).

 

Can assessment forms be used for automation?

Yes. Scored forms can trigger status changes and automated candidate communications based on pass marks and scoring logic.

 

Are all questions in a form mandatory?

All Pre-Assessment (Killer Question) form questions are mandatory. In other forms, you can choose whether each question is required.

  

Can I use more than one assessment form per job?

Yes. You can assign multiple forms to a job, depending on the configuration and purpose. For example, a Pre-Assessment Form can be used before application, and a Shortlisting Form afterwards.

 

Why can’t I create or copy all question types into my form?

Some form types only support specific question types based on their purpose and logic.

For example:

  • Pre-Assessment Forms only support Choice questions, as they rely on correct/incorrect logic for auto-fail.
  • Scored Candidate Assessment Forms only support Choice and Order of Importance questions, as these can be scored.
     If a question type isn’t compatible with the selected form type, it won’t be available to create or copy in that form.

 

What does the “Randomise Questions” option do, and which forms support it?

The Randomise Questions setting shuffles question order for each candidate, reducing bias and pattern-based responses, especially in scored assessments. It applies to Candidate Assessment Forms (scored and non-scored) and Pre-Assessment Forms (Killer Questions), but not to Screening or Shortlisting Forms, which maintain a fixed order for consistent evaluation.
