Implementation - How to transition recruitment activity to Jobtrain

Whether you’re moving from paper and spreadsheets or from an existing recruitment system - a crucial decision in successfully launching your new Jobtrain platform is how to transition your recruiters, hiring managers and candidates to begin using Jobtrain for recruitment.

 

Moving from an existing recruitment system:

What to consider

  • How many open vacancies are currently being managed through the recruitment process?
  • How long will you retain access to your existing ATS?
  • Is a short recruitment freeze an option to give a natural break between old and new systems? 

We recommend that clients have a short period of concurrent running with your existing provider/process for candidate applications so that all older job adverts would naturally close, and any job board links to adverts with this provider would therefore no longer be relevant.

 

You can then begin directing hiring managers to raise new job requisitions through Jobtrain and update your careers site to direct prospective candidates to your new Jobtrain candidate site for job adverts (this can happen concurrently whilst you finalise vacancies at interview or offer stages in your old system).

 

What if you don’t have an existing recruitment system?

Why wait? Beginning to recruit straight away using Jobtrain will reduce the administrative burden of managing jobs and candidates on spreadsheets and allow you to introduce process efficiencies more quickly.


Frequently Asked Questions

Can I import candidate data into Jobtrain?

Unfortunately, no.  For any system to allocate data into the correct fields (e.g. in a job or a candidate’s record) the data must be provided in a format that matches the receiving system - it is unlikely that the job and candidate fields in our Jobtrain platform will exactly match that of your existing provider/spreadsheets.

 

There are also GDPR concerns with automatically moving candidate data from one system to another and therefore the impact on how long the candidate data will be retained for.

 

We recommend that you contact any existing candidates being considered for jobs or allocated to existing Talent Pools and invite them to register on your new Jobtrain platform.
