How to add a new application status

1. Go to Settings > General Settings > Candidate Application Statuses

2. In the left action menu, click New Status

 

3. Add the following mandatory information:


Status Name  The Status Name label is displayed to other system users.


Status Name for Candidates – A candidate-friendly label that is displayed to candidates on their homepage.


Visible to System Users – Use the toggle to display or hide the application status to your system users.


Recruitment Phase – A broad category to indicate where each candidates' status fits within the overall recruitment process, particularly when custom or unusually labelled statuses are added. Phase is a standardised Jobtrain list that cannot be edited.


Mobile App Status Group: This allows you to define the status groups within your Jobtrain Mobile site. Statuses can be grouped into 5 categories. More information can be found in our JT Mobile User Guide (this is an optional field and only applies to clients utilising JT Mobile).

For any Security Roles where the ability to change candidate status is restricted to specific statuses only, you will need to update Security Role > Application Statuses to allow users to access the newly visible status.

 

4. At the bottom right, click Save.


Linked to Core Application Status: This indicates if the status is linked to a System Customisation core status. This is not an editable field it is just for information. Please refer to How to Link Statuses in System Customisation for more information.  


Additional optional settings

You can also update the following optional fields if you need to:

Email Details

  • Email: an email can be assigned to a candidate's status that will be automatically sent when the status is changed to this. To set this up, select the required email template from the email look-up
  • Delay: use this section to set a delay on when the email should be sent. This is useful when using the killer questions automatic rejection feature 

Status Change Reason

  • Reason Dropdown: If you have activated the status change reasons feature you can specify here whether users should be prompted to capture a status change reason when changing candidate to this status. More information can be found in our Status Change Reasons User Guide


Forward Details

If you activate the Forward details function on a candidate's application status, upon moving the candidate to this status, their details will automatically be forwarded to the specified email address.

Toggle Forward Details on to activate this feature and then select which items from the candidate’s application you would like to forward.

  • Send to: Add in the email address you would like the selected candidate details to be forwarded to and use the BCC field to add in an additional email address
  • Email: Select an email template
  • Select Save


FAQs

 

I’ve added a new application status, but some users cannot view it?

Check that the status has the Visible to System Users option enabled.

Also, for any Security Roles where the ability to change candidate status is restricted to specific statuses only, you will need to update Security Role > Application Statuses to allow users to access the newly visible status.

 

What does ‘Linked to core application status’ mean? 

This indicates if the status is linked to a System Customisation core status. You won’t have the option to select anything here when creating a new status as this is configured in System Customisation. Please refer to our guide on How to Link Statuses in System Customisation for more information.

 

Can I restrict who has access to this functionality?

Yes. As with most areas of Jobtrain, this functionality can be restricted to Security Roles within Settings.
